Dear Families of St Peters Church,

 

Please pray for the success of Ecumenical Retreat on Friday October 29th .  We need all your prayers…

 

Please find in the attachment,  the tentative Program Agenda for the day, Group discussion themes, our Choir songs, our things to do, follow up items.  Please let me know if you cannot open any of the attachments. Feel free to reply back with any suggestions, concerns and questions. Feel free to forward this to any who I have missed.

 

Suma Chacko (suma.chacko@uphs.upenn.edu Phone: 215-893-6541; Cell: 215-298-3038) who is the ecumenical women's forum lead will take care of Program Committee, Planning, Invitations etc as well as miscellaneous items such as name tags, sharpie markers, pens,  paper to write names and contact details of attendees etc…. (please see attached follow-up, program agenda, group discussion themes, choir songs and other  items)

 

Things to do for St. Peters Church Team:-

 

This list of things to do is for myself and all my dear good friends at church, thanks a million for sharing all the responsibilities......Feel free to reply back with any suggestions, concerns and questions…

 

We are expecting around 200 people.

 

Housekeeping Committee:  Housekeeping  to make sure the supplies in Kitchen, Serving area and bathroom are adequate and provide alerts if necessary.  Also please arrange people who can make coffee,  serve breakfast, lunch and evening snacks

Housekeeping  needs to make sure we have ample supplies of

Bath room tissue

Coffee powder, sugar

Serving Utensils

Napkins

Kanji Plates, lunch napkins

Whole  Milk

Water

Tea cups

Table top covers

Paper towels.  Please purchase milk the day before.

Also please make sure the church is cleaned.

We need to gently remind our guests not to put paper towels or any rough stuff in the toilet bowl and flush.  We often have blocks in our sewage/septic pipes.  So this should be avoided.  Only bathroom tissue should be flushed in the toilets.  We may tell the MC to announce this as well.

( sideline thoughts : Is it possible to have separate trash cans in each of the ladies and mens bathroom cubicles as well ? )

 

Purchasing/Finance Committee:- Sabu Jacob, Aleyas T P, Kunjumol Rajan, Sunitha Flowerhill and anyone who make purchases for this event - please make sure the receipts are ready to be presented to the ecumenical committee (Suma Chacko).  We will be reimbursed for our church supplies expenses.

 

Choir  Committee  and Choir Members – all are welcomed  to join the choir:- 

Shinu Abraham, Geemon George, Johnson P Mathew, Lincy Siju, Jingle Thomas, Susan Mathew, Debbie Mathew, Lissy Thomas, Sheela George, Ginu Kodiyattu, Shalu Kodiattu, Juliya Pattammady, Cirly Aleyas and others.  I am attaching the lyrics of the songs herewith.  Please go thru.  Most of them are songs from our St.Paul's and St.Mary's regional conference.

 

Food Committee :-

 

Coffee, milk, splenda/equate/sugar, cups : Everybody please make sure these items are available all the time.

 

Rice for Kanji – Jose Achan and Molly Kochamma.  Everybody please help in preparing thick kanji.  Please estimate how many people are participating and accordingly prepare thick kanji.

 

Payar – full trays please – green or red payar can be made – your choice.

Payar Contributers :  Aleyamma Kuruvilla, Sheela George, Susan Mathew, Jolly Thomas.

 

Pappadam frying will be in our Parsonage.  Shirly Sabu is in charge of pappadam frying. Sunitha will bring all supplies.  Everybody please help Shirly in completing this task the earliest so that the smell will be out of our parsonage.

 

Achar : Sally Aleyas is making Achar.  Leelamma Kuruvilla and Suni Johnson are bringing bottled achars.

 

Inchi Curry :  Sunitha is making Inchi Curry

 

Erisseri : Leelamma and Mathew Chandanasseril

 

Technology   :- Sound System, Projector :  We don't have a dedicated person to run our projector yet, Please if anyone can do this please come forward.  We need to show the choir songs, presentations from presenters etc on the projector.   I will bring laptop with choir songs in it.

 

Photo Session committee:-  Photo session will be the last item: We need to arrange chairs at lunch time so that beautiful photos can be taken – 4 wide rows of chairs – last row of people standing on chairs, the row before standing on floor, the row before sitting on the chairs, with special central seating for all Achans.  Remaining ladies can be seated on the floor.  Need to move the rest of the chairs away from the field of camera.  You are welcomed to bring your own cameras as well.
